Consider/Approve Bid for School Buses

Background Information :

In addition to advertising, we solicited bids for the purchase of two (2) school buses, which will be budgeted in the General Purpose School Fund for the 2011 – 2012 fiscal year. The purchase of two (2) school buses is within the replacement schedule as established by the Transportation Department. We received bids from two (2) companies, which are summarized on the bid request tally sheet. Mid-South Bus Center did not submit a bid. Individual bids were as follows:

Central States (Inline V6) – $82,182.00 each
Cumberland International (Inline V6) – $79,797.46 each
Cumberland International (V8) – $78,318.50 each

Both companies, and all three (3) bids, meet specifications. The Transportation Department recommends the Inline V6 since it will get better mileage and maintenance costs are not as expensive.

Staff Recommendation:

Based on the preference as stated above, I recommend approval of the bid submitted by Cumberland International for the Inline V6 school bus for $79,797.46 each.  In the 2011 – 2012 fiscal year budget, a total of two (2) buses will budgeted at a total cost of $159,594.92. With this approval, it is the intent of the Board and management that no liability will be incurred, nor a purchase order issued, until the fiscal year beginning July 1, 2011. If all three (3) buses are purchased from Cumberland International, the System will deduct $575.00 from the total amount referenced above.
